The key to here is to get prices from as many people as possible (2 – 4) to give you leverage.  The other element is to ensure you can get all of the items overnight – checking opening times.

I would have split the team with the majority sourcing the products and planning logistics, while the remainder of the team spent the night collecting all of the items – with the prices already agreed to ensure the best deal.

It’s really not much more complicated than that for this task.
